BOOKING POLICY
TERMS AND CONDITIONS
A completed Vacation Rental Agreement is required within 24-hours to hold your reservation. The Rental Deposit (50% of the Rental Fee) is due upon receipt. Review and acceptance of the Southern Reef Rentals LLC Terms & Conditions, which is made part of this rental agreement, is required before a confirmation will be issued.
RATES: Rates are quoted on a per night, per week or per month basis as noted. Most rates quoted are for a specified number of people (for example 4 guests for 2-bedroom, 6 guests for 3-bedroom), additional guests are subject to a per person, per day charge. Children under age 2 do not count toward maximum occupancy. Charges vary and are subject to change without notice. All properties represented by Southern Reef Rentals come fully catered with linens, dishes and utensils and an initial supply of soap and paper goods. Other amenities vary per property.
CHECK-IN AND CHECK-OUT TIMES: Check-in is at 4:00 PM | Check-out is at 10:00 AM.
Unless otherwise arranged with a Rental Agent, the 10:00 AM check-out time is crucial for the cleaning contractor to perform housekeeping duties. Therefore, please note that unauthorized late check-outs will be subject to a $250 charge in the event the contractor’s cleaning crew cannot enter the vacation rental premises.
DEPOSIT: 50% of your reservation is due within 24 hours of booking. Total payment is due 30 days prior to your check-in date.If your reservation is booked within 30 days before arrival, the full balance will be due upon booking. If your credit/debit card is on file with Southern Reef, it will be charged automatically unless other payment arrangements have been confirmed with our management.
PAYMENT: All payments are to be made in US dollars and are processed electronically; only credit or debit cards are accepted.
Ensure you have reviewed your reservation and that all information including check-in and check-out dates are accurate. If your final payment has not been received within 30 days prior to your stay, a late payment fee of $100will be charged.
CANCELLATION POLICY: 50% of the total rental charge is due at the time a reservation is booked. This includes the Rental Rate, plus 6% tax (hotel/motel tax for City of Savannah and City of Tybee) and any other fees, including a $50 non-refundable reservation fee and Property Protection Insurance. The advance payment will be applied toward the total amount due and is not a travel insurance.
Once a reservation has been confirmed by payment and you are unable to fulfill your obligation to occupy Rental Property, Southern Reef Rentals must be notified as soon as possible. For your protection it is required that cancellations be submitted in writing. Once we have received the cancellation request, Southern Reef Rentals will make every attempt to re-rent the property. If we are unable to re-rent the property, no refunds will be paid. If the property is re-rented at full Rental Rate, you will receive a refund of the full amount of rent consideration (Rent, Taxes, Housekeeping Fee, and Guest Services Fee) less a $175 Cancellation Fee.

There will be no refunds or rebates given to Renter as a result of unfortunate circumstances outside of owner or Agent’s control. For example, Agent and owner shall not be liable for unfavorable weather, acts of God, disruption of utility services, malfunction or breakdown of appliances, or other equipment such as TVs, or DVD players.
Should an owner’s property become unavailable for rental to Guest due to unforeseen circumstance, owner’s liability shall be limited to the refund of any deposits or rental amounts previously paid.
CATASTROPHIC EVENTS & EMERGENCY EVACUATIONS: If a catastrophe (hurricane, tornado, earthquake, flood, fire, or wild fire etc.) or any situation simply beyond our control impairs the vacation rental, Southern Reef Rentals is not responsible for finding alternate lodging for the renter or for the renter’s financial losses related to transportation or alternate lodging. There will be NO REFUNDS OR CREDITS FOR EMERGENCY EVACUATIONS. Therefore, we suggest you consider Travel Protection Insurance to secure your vacation investment and eliminate your financial risk. There will be no refunds of any kind for evacuations.
TV AND INTERNET: Access to a television service (cable, satellite or on demand) and wireless Internet is provided complimentary to our Guests. Please note that Internet and cable/satellite services can at times be unreliable. We do our best to ensure that these services are available during your stay though we are unable to guarantee their reliability.
DAMAGE PROTECTION POLICY: The Damage Protection Fee covers the rental property (interior and exterior) from unintentional damage that may occur during your stay. You must disclose to the management of Southern Reef should there be any incidents of loss or damage that have occurred during your occupancy Damage must be disclosed to the management of Southern Reef prior to check-out. The Policy covers up to a maximum of $1500 for the $59 policy, or $3000 for the $79 policy. Damage that exceeds in excess to these amounts will be charged to the credit card on file, or essentially obtained through any other legal means of payment. Damage that is not disclosed to management will not be covered under the policy. It is the Guest’s responsibility to notify management immediately should you observe any damage at time of check-in and arrival at the property. Prior to or immediately upon vacating the home, you must inform our staff if there have been any incidents of loss or damage that have occurred during your occupancy. The Damage Protection Policy does not replace or negate your responsibility for all members of your party as a primary renter. It does not pay for any act of intentional or negligent destruction, pet damage, re-keying, property damage resulting from motorized vehicle, additional cleaning if the home is left excessively dirty, or invoices associated with your rental that may be presented subsequent to your occupancy. Guest is financially responsible for all costs associated with repair and replacement of damage and loss caused by actions and events outside of those allowed under Damage Waiver Fee. The Damage Protection Policy is offered, administered, and funded solely by Southern Reef Rentals and we are solely authorized to determine the nature, extent, and expense associated with any damage.
CLEANING, MAINTENANCE AND DAMAGE ISSUES: Any damage or cleaning issues observed upon arrival should immediately be reported to the Southern Reef management. Any issues requiring maintenance during your stay should be reported as soon as observed to management in order to keep the property in good upkeep.
It is expected that the property be returned in a good state upon departure. Avoid charges by ensuring no damage is done to the property, garbage is disposed of properly, used dishes are placed in the dishwasher, no items from the property are missing, no smoking evident inside the apartment and any evidence of outside smoking has been cleaned and disposed of appropriately, no additional occupants other than the maximum allowed for the property, no pet hair or damage that may require additional cleaning or maintenance in pet friendly properties.
Evidence of any damage or negligence observed by management will incur charges to cover additional labor hours to clean/maintain property.
AGE REQUIREMENTS: Renters must all be 25 years of age or older unless it is a child accompanied by a parent or guardian.
PET POLICIES: Only certain properties allow dogs (maximum of two, with a weight limit of 35 pounds or less). A fee of $75 per pet is charged. Dogs must be toilet trained, well behaved and treated for ticks and fleas. Pets are not allowed on furniture. Any pet hair must be cleaned prior to Guest departure. A cleaning fee of $150 will be charged should there be evidence of pet hair on the bedding or upholstered furniture. Dogs may not use courtyards for their bathroom needs, any evidence of this may result in additional cleaning charges and termination of rental period. Pet policies are subject to change at any time.
GUEST CONDUCT AND ETIQUET
NO SMOKING: Smoking is not permitted in any of our properties. Any evidence of smoking will incur a $500 cleaning fee. If smoking outside, be aware of fire dangers. Do not smoke directly in front of open windows or allow smoke to blow inside. Ensure all cigarette butts are disposed of properly from property upon departure.
USE OF PROPERTY: It is forbidden to use any of our properties for parties or gatherings where occupants of neighboring properties might be disturbed. If on arrival it is observed that Guests are intending to use the property for such an event, Guests may be refused entrance. If it is discovered that such an event is being held after arrival, Guests may be subject to eviction with no refund. In such circumstances, we are not obliged to provide or locate alternative accommodation.
UNACCEPTABLE BEHAVIOR: Any illegal activities such as the use of drugs,discharging weapons of any kind, igniting fireworks, lewd or offensive behavior, destructive abuse of home or landscape, terrorizing wildlife, and disrespectful treatment of rental Agents is not allowed. Violators are subject to immediate termination of rental and dismissal without refund. Any damage will be charged back to Guest. Actions that result in a formal complaint from neighbors or a call or visit from local law enforcement may result in eviction with no refund.
RIGHT OF SERVICE: Southern Reef Rentals reserves the right to refuse service to anyone. All rental properties are leased without regard to race, color, religion, sex, national origin, disability or sexual orientation.
LIMITATION OF LIABILITY: The Guest agrees to indemnify and save individual homeowner, Southern Reef Rentals and its employees, free and harmless for any liabilities or any loss or damages whatsoever arising from, related to, or in connection with the rental of the premises. This includes, but is not limited to any claim or liability for personal injury or damage or loss of property, which is made, incurred or sustained, by Guest or guest of a Guest, or any occupants of the premise.
CREDIT CARD AUTHORIZATION: Guest hereby authorizes Southern Reef Rentals to charge all deposits, fees, costs and charges arising under this Agreement to the Guest’s credit card provided to Rental Agent. The reversal of any charges to Guest’s credit card arising under this Agreement shall constitute a breach of this Agreement by Guest. In the case of any reversal of charge by Guest, this provision shall serve as express permission to Southern Reef Rentals to recharge the Guest’s credit card for payment or to collect such fees, costs and charges by any other legal means.
